13. Our Software Applications and Connected Accounts
This section applies specifically to the software applications operated by Wavefront Studio LLC, rather than to this website. Those applications are:
- Wavefront Studio (wavefrontstudiostaff.com) — a platform for capturing customer enquiries from client websites, managing them through a sales pipeline, scheduling and messaging, and publishing to social media accounts
- Resin Rock Pro — captures enquiries across ResinRock Industries’ network of websites and assigns each to the nearest available installer, with quoting and job tracking
Where this section conflicts with the general policy above, this section governs for those applications.
Connecting a third-party account
Our applications let you connect accounts you already hold with other services, so that the application can work with data in those accounts on your behalf. Connecting an account is always your choice.
We never see or store your password for a connected service. You authorise the connection on that service’s own consent screen, and it issues us a revocable access token limited to the permissions shown to you at the time. Disconnecting the service from within our application, or revoking access from the provider’s own settings, ends our access immediately.
The table below lists every service that can be connected and what we access when you connect it. We request the narrowest permissions that will support the features you use.
| Service | What we access when you connect it |
|---|---|
| Your business profile, media published through us, and comments on that media | |
| Facebook Pages | Pages you administer, posts we publish on your behalf, and engagement metrics |
| Meta Ads | Ad account structure, campaign settings and performance metrics |
| Google Ads | Campaign structure and performance metrics for the account you nominate |
| Your profile identifiers and posts we publish on your behalf | |
| TikTok | Your profile, your video list, and videos we publish on your behalf |
| HubSpot | Contacts, companies and deals in the portal you connect |
| Salesforce | Records in the objects you grant access to in your org |
| Google Calendar | Events in the calendars you select |
| Calendly | Your event types and scheduled bookings |
| Gmail | Messages we read or send strictly to carry out an action you requested |
| Microsoft Outlook | Mail and calendar items in the mailbox you connect |
| Slack | Channels and messages in the workspace you connect |
| Microsoft Teams | Teams, channels and messages you grant access to |
| Dropbox | Files and folders within the scope you grant |
| OneDrive | Files and folders within the scope you grant |
| Google Sheets | The spreadsheets you open or create through the application |
| Asana | Projects and tasks in the workspace you connect |
| ClickUp | Spaces, lists and tasks in the workspace you connect |
| Jira | Projects and issues in the site you connect |
How we use data from connected accounts
We use it only to deliver the feature you connected the service for — displaying, publishing, scheduling or synchronising the data you asked us to work with — and to provide support when you ask for it.
We do not sell data from connected accounts. We do not share it with advertisers or data brokers. We do not use it to train artificial intelligence or machine learning models. We do not use it for advertising or for any purpose unrelated to the feature you enabled. Our staff do not access it except where you have asked us to help with a specific problem, or where access is necessary for security or to meet a legal obligation.
Google user data: Limited Use
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Specifically, data obtained from Gmail, Google Calendar, Google Sheets and Google Ads is used only to provide or improve the user-facing features you have enabled; is not transferred to others except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition; is not used for advertising; and is not read by humans unless we have your explicit consent, it is necessary for security or to comply with law, or the data has been aggregated and anonymised.
Meta Platform data
Data obtained through Instagram, Facebook Pages or the Meta Marketing API is used solely to provide the features you enabled, is retained only as long as needed for those features, and is deleted on request as described below. We do not transfer it to any data broker or advertising network.
Who we share application data with
We use a small number of providers to operate the applications, each bound by contract to process data only on our instructions:
- Base44 (Wix.com Ltd) — application hosting, database, and user authentication.
- Intuit Mailchimp — transactional and marketing email and SMS delivery.
We also transmit data back to the services you have connected, when you ask us to carry out an action there. We may disclose data where we are legally compelled to do so.
How long we keep application data
Access tokens for a connected service are deleted immediately when you disconnect that service or close your account. Other data associated with your account is retained for 24 months after your account is closed, then deleted. Encrypted backups are purged on a rolling 30-day cycle, after which deleted data is unrecoverable.
Deleting your data
You can remove your data at any time, by any of these routes:
- Disconnect one service — in the application’s settings. Its access token and cached data are deleted immediately.
- Delete your account — in account settings. This removes your account record and all connected-service data.
- Email us at info@wavefrontstudiollc.com with the subject line “Data deletion request”. We action these within 30 days and confirm by reply.
If you connected through Facebook or Instagram, you can also remove our application in your Meta account settings. Meta notifies us automatically, we delete the associated data, and you are given a confirmation code you can use to check the status of that request at our deletion status page.
Security
All connections are encrypted in transit using TLS. Access tokens for connected services are encrypted at rest and are never exposed to your browser or to any client-side code. Access to production systems is limited to personnel who require it and is reviewed periodically.
